September 2022: the quote that looked like a win
At 6:40 a.m. on a Tuesday in September 2022, I was sitting in a portable office at a mine site in northern Nevada, comparing two PDFs. One was from an unnamed reseller. The other was from our local Atlas Copco dealer. We needed a 49 HP compressor to feed a drilling crew and keep an Atlas Copco drifter running. The reseller’s number was $21,400. The dealer’s number was $25,900. I remember thinking: that’s a $4,500 swing. Easy call.
It was not easy. It was the most expensive “saving” I’ve made in eight years of buying compressed-air and drilling equipment. I’ve personally made and documented 11 significant mistakes, totaling roughly $18,400 in wasted budget. That September quote was mistake number six.
The background I should have remembered
In my first year (2017), I made the classic specification error: I assumed “standard” meant the same thing to every vendor. Cost me a $600 redo on a small order. After that, I started keeping notes. By 2022, I thought I knew the drill. But when you’re under pressure—crew waiting, production schedule slipping—you can still fall for a clean-looking quote.
The reseller’s quote said “Atlas Copco 49 HP compressor.” That was it. No pressure rating at the point of use. No ambient conditions. No voltage confirmation beyond “standard.” No commissioning line. No dryer. No filters. No freight. No offloading. No oil or condensate disposal. No warranty details beyond “manufacturer warranty.” I asked about commissioning. The sales rep said, “Your local tech can handle it.” I should have asked what else was missing. I didn’t.
What actually arrived—and what didn’t
The compressor showed up three weeks later—or rather, closer to four when you count the freight delay. The unit itself was fine. The problem was the scope around it. We had no dryer, so we rented one. We had no proper filtration for the air quality we needed. We paid $1,850 for freight and offloading that I thought was included. The voltage configuration was right, thankfully, but the pressure curve wasn’t. The compressor made 49 HP, yes. But horsepower is not airflow. At the pressure our Atlas Copco drifter needed, the delivered flow was lower than the quote implied. We ended up renting a booster for two months: $3,200.
Then the Atlas Copco drifter parts order went sideways. We bought a repair kit from the same reseller for $3,200. The parts were listed as “OEM equivalent.” The seals failed after about 40 hours. The drifter went down. We lost three days of production. The redo cost $4,100, including a rush OEM kit and overnight freight. That’s when I stopped calling it a bargain.
The turning point: adding up the real number
Here’s what the reseller quote actually cost us:
- Compressor: $21,400
- Freight and offloading: $1,850
- Dryer and filtration: $2,300
- Commissioning and startup by a certified tech: $1,200
- Air-quality test: $900
- Booster rental: $3,200
- Total: $30,850
The Atlas Copco dealer quote I passed over was $25,900 and included the dryer, filters, commissioning, startup, and a documented performance test. To be fair, the dealer quote wasn’t perfect either—I had to ask them to add condensate disposal. But the scope was visible. The reseller quote wasn’t cheaper. It was incomplete.
That’s the part nobody tells you when you’re comparing PDFs. A low quote is not a price. It’s a starting point. The real price shows up when you ask what’s NOT included.
What I changed in Q1 2024
After the third rejection in Q1 2024—not the compressor, a different vendor issue—I created our pre-check list. We’ve caught 47 potential errors using it in the past 18 months. The list isn’t fancy. It just forces the boring questions before the PO goes out.
- Ask “what’s NOT included?” before “what’s the price?” Freight, rigging, commissioning, consumables, disposal, taxes, warranty labor—all of it.
- Require performance data at the actual pressure and ambient conditions. For displacement compressors, ISO 1217 acceptance tests are the baseline. A CAGI-style data sheet helps too.
- Specify air purity in writing. ISO 8573-1 classes cover particles, water, and oil. “Oil-free” is not a complete specification.
- Confirm voltage, frequency, altitude, and ambient temperature. A 49 HP compressor at sea level and a 49 HP compressor at 6,000 feet are not the same machine in practice.
- For Atlas Copco drifter parts, give the serial number and require OEM or approved-equivalent status in writing. “Fits” is not the same as “rated.”
- Build a total-cost-of-ownership table. Purchase price is one column. Installation, energy, maintenance, and downtime are the others.
- Put commissioning and an acceptance test in the contract. If it’s not in the scope, it’s not in the price.
The lesson I keep relearning
Transparent pricing beats clever pricing. I don’t need the cheapest number on the page. I need the number that survives contact with the site. The vendor who lists all fees upfront—even if the total looks higher—usually costs less in the end. That’s not a slogan. It’s what the invoices taught me.
It’s tempting to think you can just compare horsepower or unit price. But a 49 HP compressor at 100 psig and a 49 HP compressor at 150 psig are different animals. The “always get three quotes” advice ignores the cost of incomplete quotes. Three bad quotes can be worse than one good one.
“What’s NOT included?” is now the first question I ask—before price.
The old “local is always faster” thinking comes from an era before modern logistics. Today, a well-organized remote vendor can beat a disorganized local one. But a remote vendor who hides freight and commissioning? That’s not faster or cheaper. That’s just a longer surprise.
If you’re buying Atlas Copco equipment now
Ask for a no-surprise quote. Line items for freight, offloading, commissioning, filters, dryers, oil, disposal, warranty, and taxes. For compressors, ask for flow at your required pressure, not just horsepower. For an Atlas Copco drifter, ask for the serial-number-specific parts list and whether the parts are OEM or aftermarket. If the vendor gets defensive, that’s information too.
This was accurate as of January 2025. Compressor prices, lead times, and parts availability change fast, so verify current rates and specs before you budget. My experience is based on about 180 mid-size orders in mining, manufacturing, and construction. If you’re buying for a large oil and gas project or a highly regulated food-and-beverage plant, your experience might differ.
I still like a good deal. I just don’t trust a low number until I know what’s missing from it.
